Order Book vs effizient
effizient and Order Book are both wholesale ordering software built for coffee roasters, and they overlap more than any other pair on this site. effizient ties each order to your books: an invoice in QuickBooks or Xero and a payment through Stripe. Order Book ties each order to the account: who is ordering less, in which language, at which price.

Pick effizient if you want every fulfilled order to become an invoice in QuickBooks or Xero, your accounts to pay online by bank transfer or card, your week run from a planning board by delivery day, and your buyers are mostly in the United States.
Pick Order Book if you are a European roaster whose cafés pay by transfer on terms, you issue invoices in your own software, you want a flat price with no fee on any payment, and you want to know which accounts are drifting before they go.
Side by side
| Area | effizient | Order Book |
|---|---|---|
| Built for | Coffee roasters with a wholesale book; they say coffee is where they start | Specialty coffee roasters and their café accounts |
| Home market | United States; based in Austin, Texas, priced in dollars | Europe |
| How cafés order | A portal per roastery, at the account's own prices; phone and email orders entered by staff into the same list | An account per café, signed in with the address the roastery holds, no password — one café account across every roastery it buys from here |
| Orders that arrive as text or email | Entered by staff and marked as phone orders | A paste box: a message, an email or spreadsheet rows, matched to the café’s catalog |
| Standing orders | No; their own comparison page says reorder and “your usual” presets, but nothing places an order for you | No; every order is placed by the café, or by you for it, with its usual items at the top of the sheet |
| Delivery days | A planning board per delivery day, where staff approve, reschedule and fulfil; local delivery and roastery pickup | Delivery days and an order cutoff per café |
| Roast day | Demand by week, with blends broken down into their component coffees; the roast schedule stays in your own tool | Roast plan, delivery run, picking list and delivery notes from confirmed orders; no blend breakdown |
| Delivery confirmation | See their site | The café marks each order Received; a problem it reports is credited against the order |
| Drift detection | Not published | Core feature: a rhythm per account and a weekly call list |
| Invoices | Each fulfilled order becomes an invoice in QuickBooks Online or Xero, due on the location's terms, and updates when the order changes | Issued in your own invoicing software and attached to the order for the café |
| Payments | Bank transfer or card through your own Stripe account: 1% + $1 per transfer, capped at $20, and 3.5% + 20¢ per card payment, Stripe's fees included; cheques still accepted | No payment processing and no fee on any payment: cafés pay by transfer on your terms, recorded against the account with a running balance, or an order marked as paid |
| Shopify | Orders from Shopify and other online stores sync in | CSV import of clients and order history, or a one-time Shopify import for stores with a custom app made before 2026 |
| Languages for the café | See their site | Six |
| Getting your data out | A full export on request, at no charge | An admin downloads everything the organisation holds as one file at any time; orders also export as CSV |
| Pricing model | From $153 a month, by wholesale locations served, quoted on a call; from $149 if you pay them by ACH debit; setup and migration free | €49, €149, €249 per month on clients — 20, 100, then unlimited — every feature on every plan, no fee per order |
| Trial | See their site; they start with a 20-minute call | 30 days, no card |
Where effizient is stronger
- The books. Fulfil an order and its invoice is written into QuickBooks or Xero, due on that location's terms, and changed if the order changes. A failed sync is flagged on the order. Order Book connects to no accounting package: you invoice in your own software, attach the PDF to the order, and record what arrives.
- Getting paid. Accounts can pay online by bank transfer or card, into your own Stripe account, and each payment lands against its invoice. Order Book does not take payments at all.
- The planning board. Orders sit on a board by delivery day, where your team approves, reschedules and fulfils them, with local delivery and pickup side by side. Order Book has delivery days, cutoffs and a roast plan and delivery run for each day, but if your week is run from one board, theirs is built for exactly that.
- Blends. Their weekly demand breaks each blend into the coffees in it. Order Book's roast plan counts what was ordered, not what goes into it.
- Online orders alongside. Shopify and other online store orders sync into the same list as wholesale. Order Book's Shopify import runs once, and only for stores with a custom app made before 2026.
- The move. They migrate your customers, prices and order history for you, free, with a named contact. Order Book's import is a CSV you run yourself.
Where Order Book is stronger
- It notices things. Order Book learns each café's own rhythm and basket, then tells you who broke it, in days, while the account can still be saved. A café that ordered every Tuesday for a year and stopped is at the top of Monday's call list. How that works.
- No fee on the money. Order Book takes no payments, so nothing is skimmed from what a café pays you: the transfer goes from their bank to yours. With effizient, an account paying online costs you up to $20 per bank transfer or 3.5% + 20¢ per card payment, on top of the plan.
- A price you can read. €49, €149 or €249 a month, published, on the number of clients, every feature on every plan. effizient publishes a starting price and gives yours on a call.
- Europe. Six languages per café, invoicing left where your country's rules already put it, app and database in Frankfurt, and holiday closures that do not read as churn.
- One account, every roastery. The café signs in with the address you already hold, no password, and a café buying from three roasteries here signs in once and sees all three, each at its own prices.
- The roast day. A roast plan, delivery run and picking list from confirmed orders, and roasted stock on the shelf counted against them. effizient says the roast schedule stays in your current tool.
Can you use both?
Not usefully. Both sit in the same place, between the café and your roastery, and neither is much use with half the accounts on it. The honest test is which half of the job is hurting. If it is invoices typed twice and payments chased by hand, that is effizient's half. If it is accounts quietly tailing off, cafés reading in a language that is not theirs, and a roast day planned from confirmed orders, it is this one.
